How to create an invoice

  1. Under Invoice, check the Invoice number, the Invoice date and the Due date (30 days later by default). Add a Reference (PO or project, optional) if your client asked for one, then choose the Currency, the Invoice language (English or French), the Paper size and an Accent colour.
  2. Under Your business, enter your Business name (or your name), address, email and phone. If you are registered for sales taxes, type Your registration numbers (optional) exactly as your tax authority issued them. Click Choose a logo image to add a logo from your computer.
  3. Under Client, enter the Client name and their contact details.
  4. Under Items, describe each product or service with its Qty, Unit price and an optional Discount %. Click Add item for more lines; the amount of each line is shown as you type.
  5. Choose the Sales tax: No tax, the general rates of a province or territory, or Custom rate(s) with your own tax names and rates. If you already received a deposit, enter it in Amount already paid (optional).
  6. Add Notes and Terms and conditions (payment methods, late fees…), check the Preview, then click Download PDF.

How the totals are calculated

All amounts are computed in whole cents, so the total always matches the sum of the lines:

  • line amount = quantity × unit price, rounded to the cent, minus the line discount (also rounded to the cent);
  • subtotal = the sum of the line amounts;
  • each tax = subtotal × its rate, rounded to the cent. In Quebec, the QST is calculated on the price before GST, not on the GST; PST and RST are not charged on the GST either;
  • total = subtotal + taxes, and balance due = total − amount already paid.

The provincial presets use the same general rates as the sales tax calculator: 13 % HST in Ontario, 14 % in Nova Scotia, 15 % in the other Atlantic provinces, 5 % GST plus 9.975 % QST in Quebec, 5 % GST plus provincial sales tax in British Columbia, Manitoba and Saskatchewan, and 5 % GST alone in Alberta and the territories. Some goods and services are zero-rated, exempt or taxed at other rates: if that applies to you, choose a custom rate or no tax.

Your responsibilities

This tool only lays out and adds up the information you type. It gives no tax, accounting or legal advice. You are responsible for whether you must register for and charge sales taxes, for the rates you apply, for your registration numbers and for everything written on the invoice. In Canada, a business that is not registered for the GST/HST must not charge it; the Canada Revenue Agency and Revenu Québec publish the information an invoice must show so that your customers can claim input tax credits. When in doubt, ask an accountant.

Use this generator only for real sales made by you or your own business. Never use it to create fake invoices or receipts, to alter amounts after the fact, or to imitate the name, logo or registration numbers of another business or organization.

Drafts and privacy

Everything happens in your browser. Your invoice is automatically saved as a draft on this device only (in the browser’s local storage), and your business details are reused the next time, including in the quote generator. Click New invoice (keep my details) to start the next invoice with the number increased by one, or Erase everything to delete the draft and your details from this browser. Nothing is ever sent to a server.

Frequently asked questions

Is this invoice generator really free?

Yes. There is no account, no watermark and no limit on the number of invoices. The PDF is created on your device.

Can I invoice without charging tax?

Yes. Choose No tax. If you are a small supplier who is not registered for the GST/HST, you generally must not charge it; check the rules that apply to you with the Canada Revenue Agency.

Can I use it outside Canada?

Yes. Choose USD or EUR and Custom rate(s) to enter a sales tax or VAT rate, for example 20 % VAT, or no tax at all.

Where is my invoice saved?

Only in this browser, on this device. Clearing your browsing data deletes the draft, so keep the PDF files you send to clients.

Why is my logo not in the PDF?

The logo must be a PNG, JPEG, WebP or GIF image. It is resized to at most 600 pixels to keep the PDF and the draft small. SVG files are not accepted: export your logo as PNG first.
