Quote or estimate: what’s the difference?
Both show a client what a job will cost before it starts, and the two words are often used interchangeably. In common practice, a quote is a firm price for a well-defined job, while an estimate is an approximate price that can change once the actual work, materials or hours are known. Whatever the title, say clearly in your terms what is included, what could change the price and how long the price holds. In French-speaking Quebec, a quote is usually called a soumission or devis.
Calculation details
Amounts are computed in whole cents. Each line is quantity × unit price, rounded to the cent, minus its discount. The subtotal is the sum of the lines. Each tax is the subtotal times its rate, rounded to the cent: with Quebec selected, 5 % GST and 9.975 % QST are both calculated on the subtotal (the QST is not charged on the GST). The total is the subtotal plus the taxes. For example, 12 sheets of drywall at $18.49 plus 6.5 hours of labour at $65 with a 5 % discount give a subtotal of $623.25; Ontario’s 13 % HST adds $81.02, for a total of $704.27.
The provincial presets are the general rates in force when the rates were last checked; some goods and services are zero-rated or exempt. Adjust with a custom rate if your situation is different.
Your responsibilities
This tool only lays out and adds up what you type. It gives no tax, accounting or legal advice, and it does not check whether a price, a deadline or a clause is appropriate. You are responsible for your registration numbers, the taxes you show, the prices and the conditions you offer. Some trades have their own rules for written estimates (for example consumer protection or licensing rules in your province); check them with the proper authority or a professional.
Only make quotes for your own business. Never use this generator to create fake documents, to back a fraudulent claim, or to imitate the name, logo or registration numbers of another company or organization.
Drafts and privacy
The quote is saved automatically as a draft in this browser only. Your business details and logo are also reused by the invoice generator, so accepted work can be invoiced without retyping. New quote (keep my details) starts the next quote with the number increased by one; Erase everything deletes the draft and your details from this browser. Nothing is sent to a server.
Frequently asked questions
Can I turn my quote into an invoice?
Your business details, logo, currency and tax settings are shared with the invoice generator. Open it, enter the client and copy the accepted lines.
How long should a quote be valid?
It’s up to you. Thirty days is common, but prices of materials can change quickly, so a shorter validity can make sense. The Valid until date is printed on the PDF.
Can I add a deposit request?
Yes. Write it in Terms and conditions, for example “A 25% deposit is required to schedule the work.”
Is my data stored online?
No. The PDF is created in your browser and the draft stays in this browser’s local storage, on this device only.
Can I remove the taxes from the quote?
Yes. Choose No tax in Sales tax, or write in the notes that taxes are extra.
