How to fill in your time card

  1. In the Weekly timesheet, enter the Start and End time of each shift, and the unpaid Break (min) in minutes. Monday to Friday start filled with 9:00–17:00 and a 30-minute break; replace them with your own hours.
  2. Leave a day empty if you didn’t work. Copy Monday to Tuesday–Friday repeats a regular schedule in one click, and Clear the week empties every row.
  3. Under Overtime and pay, pick an Overtime rule or type your own thresholds in Daily overtime after (hours, empty = none) and Weekly overtime after (hours, empty = none). Leave a threshold empty to turn that rule off.
  4. Optionally enter your Hourly rate and the Overtime multiplier (1.5 for time and a half, 2 for double time).
  5. The results update as you type; Calculate refreshes them. Download CSV saves the week for a spreadsheet or for your employer.

Each row shows the hours worked that day in h:mm and, in brackets, in decimal hours. Below the table you get the Total hours, the Total (decimal), the Regular hours and the Overtime hours, then the Regular pay, Overtime pay and Gross pay when a rate is set.

Overnight shifts and breaks

When the end time is earlier than the start time, the shift is treated as ending the next day, and the row is marked “+1 day”. A night shift from 22:00 to 06:30 with a 30-minute break counts 8 hours, on the day the shift started. A shift can’t be longer than 24 hours, and a break that is as long as the shift is reported as an error rather than silently ignored.

Only unpaid breaks should go in the break column. Paid rest periods, such as the coffee breaks many employers give, are working time: leave them in.

How overtime is calculated

Daily overtime is the time worked above the daily threshold on each day. Weekly overtime is the time above the weekly threshold, counting only the hours that were not already paid as daily overtime. This avoids paying the same hour twice, and it gives the same result as taking the greater of the two totals. For example, six days of 9 hours (54 h) with thresholds of 8 h a day and 40 h a week gives 6 h of daily overtime plus 8 h of weekly overtime: 14 h in total, and 40 regular hours.

Pay is computed exactly, in cents: regular pay = regular hours × rate, overtime pay = overtime hours × rate × multiplier. It is gross pay, before income tax, payroll deductions and benefits.

Overtime thresholds: examples only

The presets show common rules, as a starting point. The US federal Fair Labor Standards Act uses 40 hours a week. In Canada, the federal Labour Code uses 8 hours a day or 40 a week, Quebec and British Columbia count from 40 hours a week (plus 8 hours a day in BC), while Ontario and Alberta use 44 hours a week (plus 8 hours a day in Alberta). These rules have exceptions for some industries, managers and averaging agreements, some add double time (for example, beyond 12 hours a day in BC or California), and they change over time. Check your provincial or state employment standards, your contract or your collective agreement. This tool calculates; it does not give legal or payroll advice.

Frequently asked questions

How do I convert minutes to decimal hours?

Divide the minutes by 60. 7 h 45 is 7 + 45 ÷ 60 = 7.75 hours; 15 minutes is 0.25 h, 30 minutes 0.5 h. Payroll software usually wants decimal hours, which is why every total is shown both ways.

Can I enter a shift that goes past midnight?

Yes. Enter the real start and end times, for example 23:00 and 07:00. The tool sees that the end is earlier than the start, adds a day and shows “+1 day” next to the hours.

Why is my overtime lower than daily plus weekly excess?

Because an hour already counted as daily overtime is not counted again toward the weekly threshold. This is how most jurisdictions with both rules work.

Can I track more than one shift in a day?

Each row holds one shift. For a split shift, enter the whole span and put the unpaid gap in the break column: 8:00 to 18:00 with a 120-minute break counts 8 hours.

What does the CSV contain?

One line per day with the start, end, break, hours in h:mm and in decimal, then the totals, the overtime and the pay. The French version uses semicolons and decimal commas so it opens correctly in French spreadsheets.
