How to create your email signature
- Fill in Your details: full name, job title, company, email, phone, mobile, website and address. Leave any field empty to hide its line.
- Paste the full addresses of your Social profiles (LinkedIn, X, Instagram, Facebook, YouTube, GitHub). They appear as text links in your accent color.
- Add a Logo or photo. The best option is a Hosted image URL (recommended): the https:// address of an image already on your website. You can also choose a local file, which is embedded in the signature (see the limits below).
- Pick a Template (Classic (image beside), Stacked or Compact), an Accent color, a Font and the Image width. Tick Round image for a circular photo.
- Check the Preview, then click Copy signature and paste it into your email app. Copy HTML source and Download give you the raw code for apps that accept HTML.
Load example fills the form with sample details so you can try the templates. Everything happens in your browser: nothing you type or upload is sent anywhere.
Why the signature is built with tables and inline styles
Email apps are not web browsers. Outlook for Windows renders messages with the Word engine, Gmail removes <style> blocks from signatures, and many apps ignore modern CSS such as flexbox or grid. This tool therefore produces the kind of HTML that survives everywhere: a layout table with role="presentation", inline style attributes on every element, web-safe fonts (Arial, Verdana, Tahoma, Trebuchet MS, Georgia) and plain text links instead of icon images. Every value you type is escaped, so a stray < or & in a job title cannot break the code.
Phone numbers become tel: links (so they can be tapped on a phone), the email address becomes a mailto: link, and web addresses without https:// are completed automatically. Links that are not web addresses are left out and listed under Checks.
Images: hosted URL or embedded file?
A local image is converted to a data URI, meaning the picture itself is written inside the HTML. The tool resizes it to 240 pixels to keep it small, but many clients still block or strip data URIs: Gmail refuses them in signatures, Outlook often shows an empty box, and recipients may see an attachment instead. A hosted image (for example https://www.example.com/logo.png) is lighter and displays in far more apps. Upload your logo to your website, then paste its URL. Note that images loaded from a URL may not appear in this page’s preview, because the page blocks external images for privacy, but they do appear in your emails.
How to add the signature to your email app
- Gmail: open Settings (gear icon) → See all settings → General → Signature → Create new. Paste with Ctrl+V (Cmd+V), then click Save changes at the bottom of the page. Gmail limits signatures to 10,000 characters.
- Outlook (new Outlook and Outlook on the web): Settings → Account → Signatures, create a signature, paste it and save. In classic Outlook for Windows: File → Options → Mail → Signatures.
- Apple Mail: Mail → Settings → Signatures, select your account, click +, paste, and untick Always match my default message font so the fonts and colors are kept.
Frequently asked questions
Why do I see a broken image or an attachment in my sent emails?
The image is probably embedded as a data URI, which many email clients block. Use a hosted image URL instead: it is the most reliable way to show a logo or photo.
Why does the round photo look square in Outlook?
Outlook for Windows ignores the border-radius style. If the shape matters, crop your photo into a circle and save it as a PNG with a transparent background before using it.
Can I edit the HTML myself?
Yes. Use Copy HTML source or Download and edit the code in any text editor. Keep the tables and inline styles: most email clients ignore style sheets and classes.
Why are social networks shown as text rather than icons?
Icons would be images, and images are the part of a signature most often blocked. Text links always display, stay readable in dark mode and do not make the signature heavier.
Is my information stored or sent anywhere?
No. The signature is generated in your browser. Nothing is uploaded, and the page keeps nothing once you close it.
